Village of Buffalo Grove BG Days Committee met April 12.
Here are the minutes provided by the committee:
The meeting was called to order at 7:05
The minutes of the last meeting were discussed. Rodney made a motion to accept the minutes. Shari seconded the motion. The motion was carried.
Chairman’s Report: Paulette Greenberg/JV Springman
Paulette stated that she has met with the Village people a couple of times. She said that some things have been clarified. She continues to have more questions. She will be addressing them with the Village and the Park district in the next few days. Paulette noted that we are missing a significant number of committee members tonight. She has received no resignation letters but she suspects the committee members not present may be done
She said that we may need to reach out to the community to get new people.
Police: Robert Broussard/Tara Anderson/Frank Horbus
Bobby introduced Frank Horbus as the new traffic sergeant for the committee.
Parade: Rodney Odelson/Ken Lazar
Rodney questioned Mike regarding the choice of Labor Day weekend for construction on Bernard Drive. Mike explained that the construction is a 2-year staged event. The first stage is from the Alcott Center to Buffalo Grove Road. The second year will be from Alcott Center to Arlington Heights Road. Mike said the construction will run all weekend long. The decision of timing was made by the Buffalo Grove Engineering department Rodney stated that it is not safe with uncompleted curbs for the parade to run down Bernard. He has checked out the Pride Parade route but feels that since everything else for BG Days has been moved to Lake County, that the parade should stay in Cook County to be fair to the residents.
Mike said that there is no construction on Raupp itself. There is full construction on St. Mary’s.
Rodney stated that he has received 4 Shriner’s applications with a total cost of $1900.
Rodney stated that he went down Lake County routes but nothing would work for the parade. Rodney said no for the parade in Lake County. It will anger the Cook County residents.
Rodney wishes to cancel the parade because of the construction. The Police Department suggested that the parade route for this year be Dundee to Weidner north to Bernard west up to Cooper/Longfellow schools.
Rodney said that he will need to line up the entrants somewhere else. Bobby suggested a talk with Rodney in the next few days about an alternative parade route for this year.
Further discussion and decisions about the parade will be tabled until the next meeting.
Mobile Com: Paul Zucker
Paul had no report.
Fun and Food: Debbie Verson/Judy Samuels
Judy asked if there is a tent this year. She was told that the Fun and Food program can use the yet unnamed tent with tables and chairs. There will be no room for entertainment. It will be on the grass, not asphalt. This will need to be a consideration if there are residents in wheelchairs.
Paulette shared that the commission would need to find food donations. Judy stated she was aware of that.
Judy asked why the tent will be on the grass and was told since the food trucks and carnival are on the pavement, the tent cannot be placed there.
Kona Ice will offer free ice cones again but they will remain on the pavement. They cannot drive on the grass so the residents or family members will have to come and get the ice cones for them. Because of the tent, they Fun and Food program will have shade and cover for rain
Fire Department: Joe Welter
Joe was not present.
Public Works: Mike Skibbe
Josh said that everything is tracking. They are working on the golf carts and also working on long carts for the handicapped shuttles.
Marc asked about having plywood available for the grass to ease the movement of wheelchairs from the parking lot to the tent on the grass. Mike agreed, stated that if there is rain, it may be needed
Sponsorship: Wendy Friedman/Mike Terson
Ryan stated that the Park District is creating an exposure list for amounts donated and the events for which donations are needed. The goal is $50,000, They have already secured 5 donations for a total of $3500.
Food Trucks: Don Geno/Amanda Busch/Megan Baird
Paulette stated that Don will work the Park District on the food trucks.
Paulette stated that the Park District has already started. Ryan stated that they stated working on it right away. They sent out a survey, have a spread sheet and asked for applications. This was done in conjunction with other events the Park District has planned. They will need to look and make decisions regarding those applications. Don is to be a part of the decision-making process.
Ryan also said that they will have limited number of tents for Dorfler’s and Lou Malnati’s Diane asked about trucks being there on Monday for the Car Show. She also asked about a coffee truck being there in the morning of the Car Show.
Doug noted that last year, Kona Ice’s generator did not work and Public Works was required to supply them power.
Mike stated that he has created a template that each sub chair will fill it out for every meeting. This document will be in Google Docs and Mike will share it with committee members so everyone can know what is going on with each event, even if they cannot attend a meeting. The sub chairs can just read the report at the meeting.
Beverages/Beer Sales: Dani Hoefle/TJ Wilkes
Ryan stated that they have applied for a liquor license. They are working on getting the trailer. The hours of operation for the Beer service will align with the major events. There will be Bassett training which is required for those who wish to serve alcohol. Ryan stated that normally only the Park District personal are needed to serve. If more hours are added, they will need volunteers and those will need to be trained.
Business Fair/Arts and Crafts: Bradley Schencker
Paulette stated that the Chamber will be running both events together this year. Brad hopes to call it Main Street Buffalo Grove, mixing the business and art booths together. Bard hopes for 60-80 booths. No tables and chairs will be provided. Both groups will be offered a tent at a price, unless they want to bring their own. Brad will vary the price of the booths, depending on circumstances for the crafter or vendor.
Paulette stated that no letters have been sent out. She explained to Brad that there should be no art. We did that once a few years ago and it did not work out.
Set Up/Take Down: Public Works
Public Works had no report.
Kids Activities: Lindsay Grandt/Jimmy Mix/Brian O’Malley/Jane Primack Ryan stated that they are considering a kid’s hour on the main stage. This would include dance groups or other entertainment. They are thinking Saturday and Sunday afternoons around lunch time.
Ryan stated that he has a storage container sponsor who will let kids help design a storage container.
Andy asked about use of part of the tent for kid’s crafts. Ryan said that could be a consideration. Jane will contact them about possibly being liaison for the committee.
Grilling Challenge: Jackie Beegun/Don Geno
Jackie said that she and Don will have to talk
Andy said he talked to a few competitors and those he spoke to would like to come back. He said that the cost of meat was no deterrent but they will not be supplying samples. Jackie stated that she has a Kansas City accredited judge who will come. .
Entertainment: TJ Wilkes/Mike Terson
Paulette said that there is no chair from the committee.
Ryan stated that the Park District has identified time slots for entertainment to be filled.
Time slots are as follows:
11:30-1 (Kids Hour)
1:30-3 pm (Band)
3:30-5 pm (Band)
6-8 pm (Band)
8:30-10:30 pm (Band)
Jane stated that the 11:30-1 time frame is too early to get an audience for the kid’s entertainment. The festival does not open until 12 noon. Her event in the past opened at noon and was not very busy until about 1:00.
Technical Production: Doug Primack/Adam Moodhe
Erika met with Adam. Erika was asking about Doug and Adam running the lighting show. Ryan was told that the sound company brings in the lights and they run them or coordinate with the band on stage, who runs it.
Doug stated that the stage company runs the video screens. The Park District supplies the info displayed on the video walls and the sound company provides the link up for it. Doug said that getting the equipment for it all to run .is the challenge
Marketing/Publicity: Marc Spunt/Mike Terson/Jennifer Johns/Wendy Friedman Ryan gave Marc contact info about the Park District personnel who will be doing publicity and marketing. Marc will run the BG Days Facebook page.
Ryan stated that the Park District got access to the BG Days website and has begun to update it. Marc will use the website for uploading to Facebook.
Clicks and Shutters: Marian Rodriguez
Marian received help form Adam last year
Marian is interested in returning to the committee as Photographer.
Car Show: Marian Rodriguez
Diane and Cody did not want to be the leads for this event. Cody may not be around this year. Diane needs to step away from leading at this time, due to personal reasons. Diane stated that the biggest problem she has is getting volunteers the day of the event. With 150-175 cars, they have to plan where everyone is to be placed. In years past, they have set the limit on 30 years or older. Diane stated that she hesitates to change that because once they make that change, they can’t pull back to the old cars only
Marian is interested in helping out. She has done it in the past. She stated that she has connections to get it done.
Information Booth: Debbie Rybarczyk/Marc Spunt
Paulette stated that she has no one running it. Debbie agreed she will be chair for the Info Booth.
Carnival: Paulette Greenberg
Paulette stated that it is too soon to talk to the Carnival people.
Rotary: Brett Robinson
Brett stated that he is the present president of the Rotary. He introduced Lisa Siwek who will be the next president, starting in July. Ryan stated that the Rotary wants to do bingo this year. After discussion, the Bingo event will take place in the unnamed tent on the field. If more room is needed, Public Works can set up picnic tables outside the tent. Bingo will be Thursday night. Times yet to be determined.
They also want to do the duck race virtually, again, this year. Brett wants to live stream the event on the video wall screens, as they did last year.
Brett stated that he will need advertising as to what the Rotary does for the community
Village Liaison: Mike Skibbe
Mike has no further report,
Trustee Liaison: Andy Stein/Les Ottenheimer
Les said this meeting went better than the last one. He is happy we are all back on the same page.
Andy agrees that we are all moving in the right direction.
Your 2 Cents Worth: All committee members
Mike stated that Bernard will be fully under construction during the festival. He feels that we can move the parade for one year and let the residents know.
Andy wished everyone a happy Passover and Easter.
