Village of Buffalo BG Days Committee met August 6

Village of Buffalo BG Days Committee met Aug. 6.

Here is the minutes provided by the committee:

The meeting was called to order at 7:10.

The minutes of the last meeting were discussed. Jane made one correction. Marc made a motion to accept the minutes. Rodney seconded the motion. The motion was carried.

Chairman’s Report: Paulette Greenberg/Eric Gordon

Paulette stated that there are 22 days to show time. They are wrapping everything up

Everyone on the committee is required to receive golf cart training. This is a 20 minute class that will be given before next week’s meeting on August 13th at 6:30. Paulette stated that everyone on the committee must take the class. You may be asked to drive a golf cart during the weekend. Only people who have not been previously received the training need to attend.

There will be no meeting on August 20th which will be the vendor meeting. Both Paulette and Eric will be in attendance and will be passing out the parking and delivery passes to the vendors.

Paulette stated that the shirts are at the printers and we will have them by the next meeting. The name tags are ordered and she may have them by the next meeting.

Paulette stated that it came to her attention over the weekend at the Northbrook Days that they use the same carnival company as BG Days, North American Midway Entertainment. One of the game booths was giving out inflatable AK47 rifles as prizes. The game booths are owned by individual operators. They pay a commission to the carnival company to travel with them at each festival. Paulette has contacted the carnival company and requested that this booth operator substitute a different prize. They have agreed.

Paulette stated that they are completing the parking passes and will be passed out at our last meeting on August 27th.

The committee group picture will be taken the last meeting on August 27th.

Police: Michelle Kondrat/Robert Broussard

Bobby and Michelle had no report.

Paulette was asked at the Farmer’s Market about an emergency plan and “active shooter” for the festival. Paulette stated that the Police have a plan. We do not need to know what it is at this time. We just need to know there is a plan. All of the assigned officers know the plan. The committee does have a bad weather plan while we hope to never use it again after last year.

Parade: Rodney Odelson/Lee Orlov/Ken Lazar

Rodney stated that he just received another entry which has brought him up to 60 participating groups in the parade. This is down 25 participants from last year. This is not a political year. Rodney stated that tomorrow is the deadline for entries.

Rodney stated that he has 9 business entries that paid $75 each to be in the parade. Rodney stated that he needs help Friday night and on Sunday. If you can help, see him after the meeting.

Mobile Com: Paul Zucker

Paul stated that he has started the process to order the radio. He will be getting the repeater radios so the parade people can participate on the extra channel. Paul asked where to send the bill. Paulette said to give it to her.

Paul stated that at the last meeting on august 27th he will do his radio schpeil

Fun and Food: Rick Kahen/Debbie Verson

Debbie stated that she still has openings for driving the handicapped cart. Paulette suggested that she put her schedule with open spots on the front table.

Debbie stated that she has confirmed the food for the event and has completed an inventory of the paper products she will need.. She will give her list to Paulette.

Debbie stated that she is concerned about the Monday car show participants taking up handicapped parking. Michelle is aware of the issue and took care of it in years past. She will take care of it again this year.

Debbie asked what size of carts she is getting. Paulette responded that we are getting 2 six seaters and one 4 seater.

Fire Department: Joe Welter

Joe was not present.

Park District: Ryan Risinger

Ryan was not present.

Public Works: Dave Haisma/Mike Reynolds

Dave was present. It is August.

Dave stated that all contracts for power, trailers and porta pots have been signed and items ordered.

All signage requests must go through Paulette. Let her know if you need a sign, even if Public Works has provided it in the past. They will know to find it and have it ready. Dave stated that Public Works will start on August 19th to set up property for the festival. Dave asked how many business fair booths there are. He said that he needs the final numbers before August 20th.. Dave confirmed that each Business Fair booth will be provided one table and 2 chairs. When asked, Brad stated that very few of the Business Fair booths will need power. He will get the numbers to Dave after their Thursday night meeting.

Dave also asked Adam when the stage would be coming in. Dave asked for it to be delivered on Wednesday. Adam will take care of that.

Brad wanted Dave to confirm that the Chamber would get the same tent for the Beer Tent. They want to park their truck underneath. Dave confirmed it would be the same size as last year..

Sponsorship: Mike Reynolds

Mike was not present.

Paulette stated that we just received $2500 from Mod Pizza as a general donation/sponsor. T Mobile is also coming in with a donation.

Food Tent: Sarah Lee/JV Springman

Sarah stated she had the following restaurants serving the attached food items.

1. King Shabu Shab - Baos (steamed Asian buns with choice of filling, Tuna Poke Bowl, Edamame Hummus w/Carrots

2. Rivaj Indian Cuisine – TBD

3. El Barrio - Burritos, Tacos, Quesadillas, Mexican corn, Chips & Salsa

4. Kona Ice - Hawaiian shaved ice

5. Mozzarepas - South American Grilled sandwiches

6. Your Sister's Tomato - Wood fired Pizza

7. Culver's - Concrete Mixer's, Lemon ice

8. Brother's BBQ - Pulled Pork Sandwich, Beef Brisket Sandwich, Cheese Curds, Onion rings

9. Luke's of Mundelein - Italian Beef, Vianna Hot Dogs, Italian Sausage, Burgers, Fries

10. Lou Malnati's - Deep dish Pizza

11. Michael's Catering - Hot Dog, Burgers, Chicaken Fingers, fries, Donuts

12. Popcornjester - Lemonade, fresh made juices

13. Dorfler's – TBD

14. Nothing Bundt Cake - small bundt cakes

15. Wrap it Up - Buffalo Chicken wrap, Chicken Ceasar wrap sandwiches, homemade chips

16. Beaver's Doughnuts

17. Berry Yo Frozen Yogurt

18. Golden Brunch – Gyros

19. Rack House Kitchen - wings and rib fingers

20. Sweet T's Bakery & Cake Studio

She has a total of 20 restaurants. Some are serving on Thursday and Monday only, some on the weekend only. Some will be serving a mixture of days of the weekend.

Paulette congratulated Sarah on a great job considering she works full time and travels often for her job to have put together such a grouping of restaurants for the weekend.

Not For Profit: Mike Reynolds

Mike was not present.

Paulette stated that Mike has sent out the signup sheet for the not for profits for a third time. Most of the spots are taken with 18 groups participating.

Beer Tent: Brad Schencker

Brad stated that the presale have been ok. He stated that he needs volunteers to pour beer. Brad discussed security issues about beer sales, He said that the servers have to take a bartenders servers test, called the Bassett Test before they are able to serve at the festival. When asked, Brad said that there have been no online beer ticket sales. He said that there has been no promotion by the Camber. It was put up on the website the day Roger left. He still hopes for a few.

Paulette reminded committee members that we cannot wear committee shirts and drink or serve beer. We need to wear another shirt or turn ours inside out.

Brad confirmed that Miller will be the big provider for the beer. The craft beers featured will be on a rotating basis each day per the request of previous year’s participants.

Brad introduced Suzi Schoenhoft as the new executive director of the Chamber.

Business Fair: Brad Schencker

Brad stated that they have 20 booths signed up. This is below the usual number of 35 in years past.

When asked, Brad said that just a few need power. He said that he will know after their Thursday meeting.

Set Up/Take Down: Marc Spunt

Marc stated to be there on Thursday night. Paulette stated there is a Boy Scout troop looking for community service hours that will be here at the festival 3:00 Monday for take down.

Arts Fair: Jackie Beegun/Sharon Borstein

Sharon stated that she reviewed the submissions. She has 17 artists in16 booths, There is a wide variety of art work and artists.

Sharon stated that only one booth needs power. Paulette stated that she will need to know exactly which booth will need the power.

Not for Profit Booth Management: Arti Sinha

Paulette stated that she has 10 signed up thus far. She has 16 booths/tents from the Arts Fair and will stop at that number.

Kids Craft Tent: Jane Primack/Carol Irvin

Jane stated that she has ordered her supplies. She also contacted The Tile Shop to donate tiles and they have nothing.

She continues to collect cans and attempts to collect yarn.

Grilling Challenge: Ed Bjes

Ed was not present but emailed his report.

The trophies are ordered. Paulette and Matt have been doing a great job of getting him sponsors. He plans on reaching out to all of the judges he has emails for last year. He states that if anyone on the committee wants to judge, please contact him and he will put them in the front of the line as judges.

Eric stated that they have 8 cookers with 22 items being cooked.

Entertainment: Karen Danenberg/Marlene Kozak

.Karen stated that the official announced that A Night of Queen was to perform as our headliner on Saturday went out on August 1st She said that there have been nice comments about getting the band, which people have paid $85 for tickets. She said that weather permitting; we will have a full field

Karen said that everything is falling in place. The mailings go out tomorrow for the entertainment.

Technical Production: Doug Primack/Adam Moodhe

Adam has been working with production crew of A Night of Queen for their back line set up. Things are coming along

Doug said that we will have sound.

Doug stated that if Paulette is ordering extra tables, she needs to order extra chairs. Last year, he was taking chairs from the Food Tent for the Beer Tent. Paulette stated she would take care of that.

Marketing/Publicity: Alan Danenberg

Alan stated that the brochure is at the printer. It will be in the resident’s mailboxes on August 20th.

Alan stated that the website is up to date with the current info given at this meeting. Alan stated that the posting on the A Night of Queen performance is very positive.

Clicks and Shutters: Marian Rodriguez/Randy Kittell

Marion had no report. They are scouting spots for the group photo at the last meeting. Suggestions were given to them by committee members.

Car Show: Cody and Diane Bartlett

Diane stated that they are doing pretty good. They have a lot of scheduled shows to attend to hand out flyers.

Jane will send Diane the email of someone who will send out the flyer to his corvette groups.

Diane said that they always need volunteers

When asked, Diane confirmed that cars from the year 1989 and older qualify for the car show..

Information Booth/Ice Man: Marc Spunt

Marc asked if you sit at thein of booth please be pleasant. If have nothing to do, stop by the Info Booth. There is always something to do.

Paulette stated that she has ordered 2 ice chests, one for the Chamber and one for committee. They will be refilled during the festival as needed.

Paulette asked the Police and they confirmed that there will be a dunk tank staffed by the Chief of Police.

Carnival: Paulette Greenberg

Paulette stated that the prices on the website. The 5 day pass is $65

The one day passes for Thursday night, Saturday afternoon and Monday are on sale for $27 at the festival, $22 on line. 30 tickets cost $30.

Village Liaison: Mike Reynolds Mike was not present.

Trustee Liaison: Andy Stein/Eric Smith

Andy had no report.

Eric has no report.

Andy stated that they are putting a request for good weather.

Your 2 Cents Worth: All committee members

Brad stated that Wednesday night there will be the annual softball game.

begins, it will be dedicated as the Rick Drazner Memorial Ball Game. Rick’s son will be announcing the game. He is with second city.

Rodney stated that the Village gives a lot of work to Crown Trophies for different events in the village. Rodney approached them and they are donating the trophies for the parade this year. They will be listed as an in kind donation/sponsor for the parade. There will be signage at the parade.

JV stated that he wished to note that Sarah has done an exceptional job this year getting the restaurants for the Food Tent.

Rodney made a motion to adjourn. Alan seconded the motion.

The meeting was adjourned at 7:58.
