What the job is: The Administrative Assistant performs a variety of complex and routine administrative support duties in the Public Works Department, such as records maintenance, data entry and timekeeping. The Administrative Assistant also provides daily backup to the Village Hall’s front counter, which provides a variety of customer service functions to residents of the community. Additionally, the Administrative Assistant serves the Village organization as a whole by serving on inter-departmental committees and assisting with special projects. The Administrative Assistant champions customer service, innovation and continuous improvement.

 Job Responsibilities

  • Provides administrative support to the Public Works Department by completing work such as performance metric data entry, timekeeping data entry, assisting with purchasing goods and supplies and processing invoices for payment
  • Provides and sets an example for exceptional customer service by responding to phone calls, requests for service and requests for information
  • Serves as a daily backup for Village Hall Resident Services front counter operations, including answering phone calls, handling walk-in customers, performing cashiering duties and supporting community development functions
  • Participates on project teams and completes special projects as assigned
  • Assists with coordinating and attends a limited number of weekend and/or holiday special events as assigned, such as the Public Works Open House/Meet the Machines, 4th of July celebration and the French Market
  • Takes meeting minutes at evening board/commission meetings as assigned (typically not more than two per month)
  • Performs other duties as assigned
 Required Qualifications

Education and Experience

  • High school diploma or GED; associate’s or bachelor’s degree preferred
  • 1-3 years of related experience
  • Valid driver’s license
Functional Knowledge

  • Excellent organizational skills and attention to detail
  • Strong technology skills, Microsoft Office suite skills and desire to incorporate technology into business processes
Interpersonal and Communication

  • Outstanding customer service skills
  • Great communication skills and ability to adapt style to fit audience
  • Good team member also capable of working independently
  • Self-starter able to manage multiple projects and deadlines
  • Emphasis on continuous improvement
Physical Requirements and Work Environment

  • Occasional lifting/carrying up to 10-20 pounds (with or without reasonable accommodation)
  • Frequent walking and standing (sometimes on uneven surfaces), talking, listening, and operating computer (with or without reasonable accommodation)
  • Work is primarily performed in an office setting
  • Strong emphasis on workplace safety
 Salary

Starting salary is $59,894 to $65,135 (ability to hire above starting salary DOQ) plus great benefits, including Illinois Municipal Retirement Fund pension, health insurance, dental insurance, life insurance among others.
